Overview
Enovise is expanding its footprint in Malawi and needs an Operations Associate to keep the office running and support the team in winning and delivering work. This is a hands-on generalist role: one day you're managing supplier relationships and office logistics, the next you're pulling together compliance documents for a bid submission. You'll work closely with regional leadership and support functions across the business, and you'll be trusted to run day-to-day operations with minimal oversight.
Responsibilities
- Manage day-to-day office operations, including procurement, supplier and vendor relationships, facilities, and general administration.
- Maintain office records, filing systems, and documentation in line with company policy and local regulatory requirements.
- Support preparation, formatting, and timely submission of bids, tenders, and proposals, coordinating inputs from technical and commercial teams.
- Track bid calendars and deadlines, flagging risks to submission timelines early.
- Assist with company registration, licensing, tax, and other statutory compliance requirements for the Malawi entity.
- Coordinate travel, meetings, and logistics for staff and visiting team members.
- Manage petty cash, basic bookkeeping, and expense tracking, liaising with finance on invoicing and payments.
- Act as the first point of contact for the Malawi office — visitors, calls, and general enquiries.
- Support HR-related administration, including onboarding logistics and record-keeping for local staff.
- Maintain relationships with landlords, Clients, Stakeholders, and other service partners to keep the office fully functional.
Requirements
- 2+ years of experience in office administration, operations, or a similar generalist support role.
- Prior exposure to preparing or coordinating bids, tenders, or proposals is strongly preferred.
- Strong organisational skills with the ability to manage multiple deadlines and priorities simultaneously.
- Confident written and verbal communication in English.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new tools and systems.
- High level of discretion — able to handle sensitive company and client information appropriately.
- Based in or willing to relocate to Malawi, with authorisation to work locally.
Nice to Have
- Experience working in a professional services, security, consulting, or NGO/donor-funded environment.
- Familiarity with Malawi's business registration, tax, and procurement/tender processes.
- Basic bookkeeping or finance administration experience.
- Prior experience supporting a small or newly established office/branch.
